How Does MailXstream Work?

Once you're set up for live operation, you'll simply:
1. Log into MailXstream.com.
2. Create an order name.
3. Upload your print file.

We do the rest! You will see the status of file processing and preparation, the mail stream(s) created, and the printing, inserting, and mailing of your project whenever you log into MailXstream.com.

A one-time setup begins with a call to MailXstream. We will create a Client and Project profile and set you up with a secure login and password through which you can upload a sample file for setup and testing. A MailXstream team member will then contact you to discuss process features, pricing, and a MailXstream service agreement.

Document Transmission Options

Print Driver. This option enables you to select the MailXstream Print Driver from a list of printers in the same way that you select your in-house printer. Once selected, MailXstream transmits your documents to a printing facility where they are printed (using a template you specify), stuffed, and mailed to your customer within 24 hours.

Web Upload. This option offers the same convenience of mailing invoices to your customers from your desktop; users upload a batch of invoices in .pdf format to a MailXstream website using a two-step process. MailXstream transmits your documents to a printing facility where they are printed (using a template you specify), stuffed, and mailed to your customer within 24 hours.

Customized Integration. This option serves medium to large businesses most effectively. Our technical specialists provide simple instructions to your in-house programmer to integrate the MailXstream functionality into your existing software enterprise. Documents are transmitted to a printing facility with the click of a button inside your existing application, and processed and mailed within 24 hours.

Electronic Billing. This option (available soon) will provide the option for providing both print and Electronic Billing Presentment and Payment (EBPP) from a single print stream. Your customers will be able to log in to a customized website to access and pay their invoices online. For more information, please call 1-877-365-MAIL.

MailXstream Setup

MailXstream setup is extremely simple, and can be accomplished remotely with no on-site assistance. More importantly, end-to-end setup can be accomplished in one business day, assuming availability of key customer personnel. The following provides an overview of the primary steps for implementing MailXstream using any of the document transmission options listed above.

1. Introductory Call. Complete a contact request for or call the sales to speak with a MailXstream Support Manager (MSM). The initial call will offer us the opportunity to answer any of your questions and provide details on the MailXstream product as it relates to supporting your document printing and mailing needs. The MSM will discuss with you in detail your service needs, provide cost estimates, and request sample documents that are representative of the documents you will be transmitting via MailXstream.

2. Local System Test. Following the initial call, the MSM will conduct an initial local test on the documents you forward to ensure acceptability and compatibility with the MailXstream system. (Note: compatibility is rarely an issue except in cases where print margins are too wide.) The MSM you work with initially will serve as your centralized point of contact for all of your on-going MailXstream needs and questions to ensure continuity of customer service.

3. Needs Definition. Following the initial local test, the MailXstream Support Manager (MSM) will follow-up with a phone call to confirm acceptability of your document samples and collect information on your job template specifications for on-going printing and mailing. Job template specifications entail all details required to print and mail your documents to your specification, including paper type/size, simplex or duplex printing needs, color requirements, envelope type (window or other), and whether or not your mailing should include a reply envelope and cover page. At that time, we will provide a per-piece price and deposit amount for setup, as well as all information resources needed to download, install, and test the MailXstream print driver.

4. Service Agreement. The MailXstream Support Manager (MSM) will then forward to your designated company representative an initial Master Service Agreement and Service Order Agreement for your approval and execution (signature). The Master Service Agreement defines the overall contract terms and conditions for using MailXstream, and the Service Order Agreement defines the specifications of your agreement with MailXstream for your specific print-to-mail job. Each specific print-to-mail job will be detailed in a separate Service Order Agreement. Should you have questions or concerns regarding the agreements, your MSM is available to discuss and solidify these details.

5. Print Setup. Once you execute and return the service agreements and submit the required deposit, your MSM will create your print job template(s) and coordinate the setup with the print facility.
